Privacy Policy

We handle personal information in line with the Australian Privacy Principles. This policy explains what we collect, why, and what you can do about it.

What we collect

• Website visitors and enquiries: the details you give us through our Book a chat form or booking calendar, such as your name, company, work email and what you need.
• Clients: contact, billing and agreement details, and our communications with you.
• Candidates: your CV, work history, references, assessment results, interview notes, and interview recordings and transcripts.
• Team members: the details we need to employ, pay and support you, such as identity documents, government numbers, bank details, and employment and performance records.

We collect most of this directly from you, and also from job boards you apply through and referees you nominate.

The email field in our website footer is used only to contact you if we start sending updates. You can unsubscribe at any time.

How we use it

We use personal information to respond to enquiries, find and assess candidates, employ and support our team members, deliver our services to clients, and meet our legal obligations.

Interviews are recorded and transcribed using Google Gemini. Recordings and transcripts are for our internal use only and aren't shared with clients. Gemini only records and transcribes. Every hiring decision is made by a person, not by automated scoring. Background checks are done manually, through references.

Who we share it with

We share personal information only where needed, with:

• our clients, when we put a candidate forward or place a team member with them
• trusted service providers, such as cloud software, payroll, accounting and banking providers
• government agencies, where the law requires it

We never sell personal information.

Overseas

Our team is based in Australia and the Philippines, so personal information is stored and accessed in both countries. Some of our cloud software providers may store data in other countries, and we share candidate and team member details with overseas clients when we place someone with them. We take reasonable steps to make sure your information is protected wherever it's held.

Keeping it safe

We use reasonable technical and organisational safeguards to protect personal information from misuse, loss and unauthorised access.

How long we keep it

• Website enquiries: 2 years after our last contact
• Candidates who aren't placed: 2 years
• Interview recordings and transcripts: 12 months
• Team member and financial records: 7 years, or longer if the law requires

After that, we securely delete or de-identify it.

Your rights

You can ask to see or correct the personal information we hold about you. Just email us.

If you're in the EU or UK, you also have the right to ask us to delete your information or to object to how we use it. Contact us to do this.

Complaints

If you have a concern, please contact us first and we'll respond within 30 days. If you're not satisfied, you can contact the Office of the Australian Information Commissioner at www.oaic.gov.au or on 1300 363 992.

Changes

When we update this policy, the date at the top changes.
